Terms of Operation

OVERVIEW

Please read these Terms of Operation carefully before requesting our services. These Terms of Operation along with Terms of Service would apply, unless expressly stated or provided in writing by Urbana Transportation.

By requesting our services, you agree to be bound by our Terms of Operation and Terms of Service.

Airport Transfer Rates

Urbana Transportation provides a flat rate, known as the “Basic Airport Transfer” rate for airport pick-ups and drop-offs servicing major and private airports in the Greater Atlanta area. The Basic Airport Transfer rate is based upon a pre-arranged pickup and drop-off reservation time (without any associated delay or waiting time exceeding thirty (30) minutes for arrivals) and fifteen (15) minutes for transfers to the airport.

Your reserved vehicle is dispatched according to the flight’s estimated time of arrival as provided to Urbana Transportation by you or each respective airline’s automated system (Urbana Transportation is not responsible for any delays caused by the airline’s automated system or otherwise). Billing shall revert to Urbana Transportation’s prevailing hourly rate, outlined below, in the event the client is delayed, or the waiting time is exceeded, beyond the allotted thirty (30) minutes for arrivals and fifteen (15) minutes for transfers to the airport .

A service fee of fifty dollars ($50) will be applied to all trips before 6:00 am or after 12:00 am (midnight).

“As Directed” (Hourly) Rates

For travel between locations other than to/from airports, Urbana Transportation utilizes its “As Directed” rate which is based on the Company’s prevailing hourly rate with a four (4) hour minimum charge.

A four (4) hour minimum applies to all Sprinter, mini-coach and motor coach service.

Travel time begins when the vehicle leaves the garage and terminates upon the vehicle’s return in thirty (30) minute increments.

Point- to – Point (One-way) Rates

The transfer rate is based upon a pre-arranged pickup time (without any associated delay or waiting time exceeding fifteen (15) minutes). Billing shall revert to Urbana Transportation’s prevailing hourly rate, in the event the client is delayed, any additional stops are requested by the client, or the waiting time is exceeded, beyond the allotted fifteen (15) minutes.    

Overages

All charter reservations are based on an hourly rate and are billed at 60-minute intervals. The “meter” for the charter begins at the scheduled pick up time. All charters have a hourly minimum requirement, subject to the selected date, event, and/or vehicle type. Minimums may increase during seasonal events at the discretion of Urbana Transportation. Any additional time will be billed in one (1) hour increments. Any unused time will not be refunded.

Please note the above policy does not apply to special event reservations or when specifically stated on your pro forma, quote or actual invoice.

“No Show” Charges

If a client does not show up at the designated pick-up location or fails to cancel the reservation prior to a chauffeur being dispatched, a “No Show” fee for the entire amount of the trip will be charged to the credit card on file. Although unlikely, if for any reason, you cannot locate your chauffeur, please contact us on our 24/7 phone line at 240-776-5466 to avoid a “No Show” charge.

Arrival Time

Urbana Transportation makes every effort to provide timely and reliable service. It shall not be held responsible for delays or inconvenience due to traffic, weather, road construction, or any other event out of its control.

Travel speed limits are prescribed by law, and our chauffeurs are instructed to follow the prescribed speed limits and to follow speeds compatible with safe operation of the vehicles. No refunds shall be given as a result of late arrivals due to such conditions or other occurrences out of the control of Urbana Transportation or its chauffeurs.

Delays Due to Mechanical Failures

Urbana vehicles are well-maintained and undergo regular maintenance and inspections. However, in the unlikely event of a mechanical breakdown while on charter, Urbana will not be liable and will only be responsible for making up lost time at a mutually agreed date.

Baggage and Other Property

Urbana Transportation does not assume any responsibility whatsoever for the handling or maintenance of any baggage, parcels or other property transported on its vehicles. Baggage and all other personal property will be handled at the client’s own risk. Client’s baggage shall be carried subject to the available accommodations.

Weapons of any type, including firearms, are strictly forbidden in any vehicle (whether in baggage or on person) at any time, unless prior written notification is given to Urbana Transportation.

Transportation of explosives, fireworks and other flammable, combustible, toxic or otherwise dangerous material or items or livestock of any kind are strictly forbidden, even if intended to be transported in the baggage compartment of the vehicle.

Oxygen for medical use is permitted if previously approved by Urbana Transportation, but if so used at the sole responsibility of the client.

Substitutions of Vehicles

Urbana reserves the right to substitute vehicles and equipment from other authorized carriers at any time. This ensures that we can maintain the highest standards of safety, comfort, and reliability for our valued clients. Rest assured that any substitutions made will be of equal or superior quality to the originally contracted vehicle. 

Conduct of Passengers

Client shall not interfere with the chauffeur in the discharge of his/her duty or tamper with any apparatus or appliance in the vehicle. Urbana Transportation reserves the right to refuse service to any persons at any time including those under the influence of alcohol or drugs, or who are, or are likely to become objectionable to other persons, and/or if our personnel feel threatened in any way.
If, during or after the transportation service, Urbana Transportation is required to expend a greater than normal amount of time and/or materials to clean its vehicles due to acts of the client, Urbana Transportation, at its discretion, may charge the client additional fees to cover such cleaning expenses.

Pets

With the exception of service animals accompanying a passenger with a disability, animals are only allowed if they are contained within an appropriate animal carrier. Animals too large for carriers are not allowed in the vehicle. An extra cleaning fee may apply.

Payment

We cannot send a vehicle without a valid credit card pre-authorization. Due to the risk of credit card fraud, we require a photo-ID, the card holder’s name, billing address and zip code.

Your credit card is pre-authorized for the estimated charges for your trip.  For debit cards, the issuing bank treats the pre-authorization as a pending charge and withholds the amount from your account until the charge is processed.  After the trip has been completed, our service team will audit for any additional charges/time and process the card on file (unless other accepted payment arrangements have been made in advance).

ADA/SPAB

We have in our fleet vehicles that are ADA compliant. Any client that requires a vehicle that is ADA accessible or an SPAB Certified bus and operator is requested to inform us in writing at the time of making the reservation with at least 48 hours prior to the scheduled pick-up time.

These Terms of Operation along with the Terms of Service listed on Urbana Transportation’s website constitute the service agreement between Urbana Transportation and its clients and supersedes any and all other agreements. If any provision of the service agreement shall be invalid or unenforceable, the remaining provisions shall remain in full force and effect.
